Prepare the machinery record for the importer
Japan Customs describes import declaration, examination and the documents relevant to obtaining an import permit. Its guidance lists invoices, transport documents and other supporting documents according to the goods and procedure. Keep a consistent equipment list across the proposal, dismantling plan and packing records. For each unit, record manufacturer, model, reference, serial number where available, quantity, included parts and current location. Distinguish the machine from format equipment, conveyors and other accessories so the proposed supply can be identified accurately.
Check the receiving site against the machine nameplate
- Provide actual voltage, frequency, phases and utility connections at the installation site; do not infer compatibility from the destination country.
- Compare cabinet and drive information, available wiring diagrams and any proposed electrical adaptation.
- Check access, unloading arrangements, installed footprint and the handling of dismantled sections.
- Agree what manuals, operator instruction and commissioning support are requested, including language needs and document availability.
Choose containers before comparing filling equipment
For water or soft drinks, specify still or carbonated product and the PET, glass or can format. For beer in cans, assess the can body and end with the filler and seamer. For wine and other beverages in glass, provide the bottle and closure drawings. An advertised bottle size or nominal speed does not establish that the machine covers the planned range.

Define packing and installation as separate stages
Request the packed dimensions and handling plan for the selected equipment. Identify responsibilities for dismantling, securing components, loading, transport, customs coordination, unloading and installation.
